Community Parties

Also called an “Auction Party,” guests pay to attend these fun events. The ticket price is a donation to the PTA. Tickets are usually sold as part of the Walk-a-thon auction, hence the term “Auction Party,” but there is no bidding - tickets are sold at a set price on a first-come, first-serve basis.

There are a few different types: adult-only, child party, or parent/child.

Adult-only Parties are usually held in a host’s backyard. Recruit a few friends to co-host, and then choose a theme and a date (check with PTA leadership for conflicts before finalizing). It is up to the host’s discretion how many guests to allow, what entertainment to provide, and what food to serve. Many hosts hire catering (eg. taco truck), and possibly a bartender. Hosts often donate the costs of the party but also have the option to submit some expenses for reimbursement. PTA cannot reimburse the cost of alcohol.

Child Parties are similar to birthday parties. Hosts decide how many guests to allow; parties can take place in private homes, on school campus, or at a venue such as mini golf. Individual parties are often only open to a particular grade level, but hosts have the option to allow children from multiple grades. All child parties must have a minimum of two unrelated adults to supervise.

Parent/Child Parties are for parents and their children to enjoy together! Currently our only parent/child party is the GLOW party which is held in the multi in late winter/early spring.

FAQs

When is my party?

As the host, you can choose when your event occurs. Larger adult parties usually happen in April or May because that’s when weather permits for an outdoor event. August and September are also good options but are less common because planning may need to span from one school year to the next. Indoor parties can be held any time during the school year. Consult with PTA leadership to ensure your event does not conflict with another party or school event before finalizing your date.

Who pays for what?

Party attendees purchase tickets, and this money goes to the PTA. Hosts/co-hosts often cover party expenses themselves but do have the option to submit expense receipts to PTA for reimbursement. Reimbursements are generally capped at the break-even price for your event (number of tickets purchased x ticket cost). PTA cannot reimburse alcohol.

How do I determine a ticket price?

Check with caterers/vendors to get rough costs. Historically, per person expenses for an adult party with catering will be anywhere from $60-120.

How many people will attend?

You can set how many guests to allow. An adult-only party held in a host’s backyard tends to have about 40 attendees.*

Can I host an adult only party on school campus?

Yes, with approval from the Principal. Note that no alcohol is allowed on school grounds.

Is there insurance?

PTA has insurance that covers PTA events, whether they are on or off school campus. Refer to the CAPTA insurance guide for details. Party hosts must be PTA members.

How do I attend a Community Party?

Tickets are sold on the Classroom Parent Store.
